Your information, handled simply.
This notice explains how Varyan Soft LLC (“Varyan Soft”, “we”) handles information on varyan.com. The short version: we collect only what you choose to send us, we use it to reply to you, and we don’t track you.
No analytics, no trackers
This website does not use analytics, advertising pixels, tracking cookies or third-party scripts. Our hosting provider, Microsoft Azure, processes standard server logs (such as IP addresses and request times) to deliver and protect the site.
What you send us
When you use the consultation form, we receive the details you enter: your name, work email, company, company size, the topics you select and your message. If you email us, we receive your email address and whatever you write.
The form is delivered by Web3Forms, which processes the submission and forwards it to our inbox. We use your details only to respond to your request and, if we work together, to run the engagement. We don’t sell or rent your information, and we don’t add you to marketing lists.
How long we keep it
We keep inquiry emails for as long as they’re useful for an ongoing conversation or engagement, and delete them when they’re no longer needed. You can ask us to delete your information at any time.
Lexi, our AI assistant
Lexi is an AI assistant, not a person. It answers questions about Varyan Soft in the chat on this site. Lexi runs on ElevenLabs, which uses a large language model from Anthropic to write replies, so what you type in the chat is sent to ElevenLabs and Anthropic to produce an answer. We set ElevenLabs to keep conversation records for 30 days so we can review quality and abuse. We don’t use them for advertising and we don’t sell them.
When a conversation ends, a short summary, including any contact details you chose to share, is sent to our team’s private Slack workspace so we can follow up. Please don’t share passwords, health information or payment details with Lexi. If you ask Lexi to fill in the consultation form, it only fills in the fields on this site; you review them and decide whether to send.
To stop abuse, our server counts how many chats are started using a scrambled code made from your IP address and the date, never the address itself, and deletes those counts automatically, usually within a few days. Lexi’s transcript for your visit is kept only in your browser tab and disappears when you close the tab or press clear.
Your choices
To access, correct or delete information you’ve sent us, email hello@varyan.com. We’ll respond within a reasonable time.
Client data
Information we handle during a client engagement, such as systems we assess or data we work with, is governed by the agreement for that engagement, not by this notice.
Changes
If we change this notice, we’ll update the date at the top of this page.
